Job Description

Join our team and participate in a major airport redevelopment program. The Document Control Manager will be a key member of a Program Management Team managing a major airport redevelopment program.  Responsibilities will include manual and electronic document control processes managing the receipt, processing, filing and distribution of project documents in a timely and efficient manner

 

Duties And Responsibilities

  • Insure that the Program Team and Stakeholders comply with document management standards and procedures
  • Maintain project records, including assembly, distribution and storage of documents using a variety of tools including eBuilder, Microsoft SharePoint, ProjectWise and Office Suite
  • Receive, log, track, and distribute documents in both electronic and paper format for project record maintenance
  • Support the Program Controls Manager with overall project control needs, information access, project closeout activities and document management
  • Provide document controls and procedures training to all program staff members.
  • Assist project managers and other team members by maintaining all project documents such as correspondence, meeting minutes, reports, drawings, specifications, approvals and related items in the document control system.
  • Assist projects managers in the prompt retrieval of documents.
  • Assist with file migrations to permanent storage locations during the transition process
  • Maintain the confidentiality and the careful handling required in managing various documents.
  • Perform audits and other administrative tasks as needed to ensure the quality of the document control process

Minimum Qualifications

  • Bachelor’s degree in business administration, communications, or a similar work experience
  • At least five to eight years’ experience in document control for the planning, design and construction of large infrastructure programs
  • Ability to supervise a document controls group and interface with senior executives and managers
  • Excellent written, verbal, and interpersonal skills
  • Ability to work in a fast paced environment
  • Attention to detail and ability to handle multiple tasks
  • Strong skills in Microsoft SharePoint, ProjectWise and Office
  • Proficient use of Outlook, Word, & Excel software
  • Excellent organizational and interpersonal skills
  • Self-starter and independent worker

Preferred Qualifications

  • Experience in managing web based program management systems
  • Prior experience on large public construction projects
  • Strong spreadsheet skills for tracking and maintaining various logs
  • Schedule and budget management skills
